Inventory management for small shops in Pakistan: what you actually need
Stock you can trust across the counter and the website, without a spreadsheet you update at midnight.

Most small shops start with a register, a notebook or a spreadsheet. It works until you sell in two places at once. A customer buys the last blue shirt at the counter while someone else orders it on your website, and now you have to call one of them and apologise. Inventory software exists to stop exactly that, and a small shop needs far less of it than the big systems sell.
What inventory management software should do for a small shop
Strip away the jargon and there are four jobs. Everything else is a nice-to-have until you are much bigger.
- 1Keep one stock count that every sale takes from: counter, website and anything you use on a job.
- 2Count the way you actually sell, including sizes, colours and packs.
- 3Tell you what is running low before it runs out.
- 4Record what you buy from suppliers, so stock goes up when goods arrive and you know what each item really cost.
Why one stock count matters more than any feature
If your shop and your website keep separate counts, someone has to reconcile them, and that someone is you, late at night. A system where both draw from the same number removes the job entirely. On Biizay, an online order, a counter sale on the point of sale and the materials a service job uses all come off one count, and stock is taken the moment an order is placed, so two people cannot both buy the last one.
How do you track stock for pack sizes and variants?
Shops in Pakistan often sell the same thing loose and in boxes: one piece, a dozen, a carton of 50. The mistake is tracking each pack as its own item, because then selling a carton does not reduce the loose stock and the numbers drift.
The fix is to count in single pieces and treat a pack as a number of pieces. Biizay works this way: a box of 50 sells as one item but takes 50 pieces off the shared count, so every pack size draws from the same stock and none of them can oversell. Sizes and colours are tracked per variant, and you can add your own options such as material or thickness.
Low stock: what should trigger a reorder?
A low-stock warning is only useful if it arrives while there is still time to reorder. For each item, think about how many you sell in the time a supplier takes to deliver, and reorder above that number. Fast sellers need a higher line than slow ones.
Biizay shows low stock on your dashboard, so it is the first thing you see when you open the portal, alongside unfulfilled orders.
Purchase orders and supplier deliveries
Ordering stock and receiving it are two different moments, and good software keeps them apart. Recording an order should not add stock, because the goods may arrive late, short or not at all. Stock should go up only when you receive the delivery, and only by what actually arrived.
Biizay's purchase orders work that way: the order is an intention, and receiving a delivery adds the stock. When the same item arrives at a new price, its cost is averaged across what you already hold, so your profit figures stay honest as supplier prices move. Our guide to pricing your products for profit shows why that cost figure matters.
Is inventory software worth it for a small shop?
If you sell in only one place and have a handful of products, a notebook can be enough. Software pays for itself when you sell in two places, carry more than a few dozen items, sell in packs, or have staff ringing up sales. Those are exactly the points where a manual count starts to cost you sales and evenings.
Inventory, including the inventory report, is in every Biizay plan, Free included. Plans differ in how many products and orders they hold, not in whether you can track stock. See inventory management in Biizay or compare the plans.
Getting started without a big data entry job
- Start with your best sellers, not the whole catalogue.
- Count them once, carefully, and enter that as your opening stock.
- Sell through the system from day one, at the counter as well as online, so the count stays true.
- Add the rest of your items as you restock them.
You can open a free Biizay store and do this in an afternoon, with the counter and the website on one stock count from the first sale.
